TITLE: Program Assistant
REPORTS TO: Executive Director
SUMMARY: The Program Assistant has primary responsibility for program support and office management activities working toward the goal of providing an affordable home for everyone in Washington. This includes staffing meetings, keeping schedules, database management, and a variety of office support tasks. This position also provides discrete career exploration and development opportunities driven by the needs and interests of the Program Assistant and in cooperation with supervisory staff.
DUTIES AND RESPONSIBILITIES: The Alliance is a collaborative work environment where all employees participate in planning and carrying out the organization’s mission and goals. This position is specifically responsible for the following:
Program Support
- Work with Research Analyst and Deputy Director for Operations and Communications to support Information work, including the Affordable Housing Inventory and Risk Assessment
- Support the Executive Director, and State and Federal Legislative Committee Chairs, in state and federal advocacy work
- Assist in maintaining informational and educational materials on low-income housing and related issues for members, constituents, policy makers, the public, and others
- Support fundraising work, including maintaining and updating member and donor databases as needed and analyzing donor and member information
- Participate in the annual Membership Drive
- Provide support for organizational functions including Board and committee meetings
- Event support for local organizing events, fundraising events, Housing and Homelessness Advocacy Day, and others.
Administrative Tasks
- Greet and direct office visitors, answer main office telephone system, respond to direct requests for information and/or forward messages to appropriate staff, make sure office is kept in orderly and clean fashion
- Provide general administrative support including copying, processing mail ordering supplies, making bank deposits, communicating with vendors, administering the computer network, typing, filing, and faxing, etc.
- Prepare invoices, check requests, contract billing statements, and other similar documents for review and signature by the Executive Director
- Maintain master calendar of meetings and events
- Maintenance of files and classification and filing of new items
- Respond to staff requests for administrative support as needed
- Perform other duties and responsibilities as requested with a send of humor and team spirit!
QUALIFICATIONS:
- College graduate or commensurate experience
- Excellent communication skills (oral and written) and the ability to excel at detail-oriented work, multi-tasking and working under pressure
- A commitment to social and economic justice and to ensuring a safe affordable home for everyone
- Must have some experience in the use of software programs such as MS Word, Access, PowerPoint, and Excel; comfort with and willingness to use Apple Macintosh hardware and software.
